COED Data Requests – Faculty/Staff

The COED Office of Assessment & Accreditation (OAA) provides faculty and staff access to assessment, survey, accreditation, and program-related data to support research, program improvement, accreditation reporting, strategic planning, grant preparation, and other institutional initiatives. Data requests are reviewed individually and may require additional approvals depending on the type of data requested. Majority of data are provided in a de-identified format and released in accordance with university policies and applicable privacy regulations. Please review the steps below based on the type of data requests: IRB Research or Non-IRB.

Step 1: Contact & Schedule a Meeting with the COED Director of Assessment & Accreditation

For this meeting, be prepared to discuss research objectives, review available data sources, determine whether requested data are available,discuss FERPA considerations and identify possible limitations or restrictions.

Following the meeting, the COED Office of Assessment & Accreditation will prepare a letter documenting the availability of requested data for inclusion in the IRB submission package. preparation of supporting documentation may require up to 10 business days.

Step 2: Obtain IRB Approval

Researchers must obtain official IRB approval before requesting data. No data will be released until IRB approval has been received. Researchers should ensure that the requested data elements align with what is approved within the IRB protocol.

After receipt of an approved IRB Data Request, data delivery may require 10 or more business days, depending on request complexity, data availability, and reporting schedules. Modifications to requests may extend processing timelines.

    Frequently Asked Questions

    I need data for research study. Which form should I complete? Do not begin with the IRB Data Request Form. First, contact Dr. Melissa McCullough to discuss your project and obtain the documentation needed for your IRB application. Once IRB approval is received, submit the IRB Data Request Form.

    I need data for accreditation reporting. Do I need IRB approval? No. Accreditation reporting and most operational reporting requests should be submitted through the Non-IRB Data Request Form.

    What if my project starts as program improvement but later becomes research? If there is any possibility that the results will be publicly disseminated as research, contact Dr. Melissa McCullough to discuss before collecting or receiving data.

    How long does it take to receive data? Most requests require at least 10 business days for processing after all required documentation has been received. More complex requests may require additional time.

    Requestors should be prepared to provide:

    • Name and department
    • Job title
    • Purpose of request
    • Detailed description of requested data
    • Student populations or cohorts
    • Date ranges
    • Programs involved
    • Specific variables needed
    • Other relevant project information

    Non-IRB Processing Timeline

    Non-IRB requests are reviewed and completed in the order received.

    Please allow up to 10 business days for processing. Some requested information may already be available through existing COED dashboards accessible to faculty. Additional approvals may occasionally be required before data can be released.
