Student IRB COED Data Requests

The guide outlines the required steps students must complete before receiving data from the Office of Assessment & Accreditation. Please plan accordingly.
Step 1: Meet With Your Dissertation Chair or Methodology Professor
Before contacting the Office of Assessment & Accreditation, students must first meet with their dissertation chair or methodology professor to discuss research objectives, data needs, study methology, potential data limitations and IRB considerations.
Step 2: Request a Consultation With the COED Office of Assessment & Accreditation
After meeting with your dissertation chair or methodology professor, submit a consultation request to discuss your project and data needs with the COED Office of Assessment & Accreditation.

After your consultation meeting, approval documentation may require up to 10 business days to process. Changes to a request may restart the review timeline.
Step 3: Obtain IRB Approval
Following the consultation, the COED OAA office will provide a letter to the student related to the availability of data for the IRB for students to upload with the IRB application and students must obtain Institutional Review Board (IRB) approval before requesting data.
No data can be released until IRB approval has been granted. The approved study must align with the data elements being requested.
Students should retain a copy of their IRB approval documentation, as it must be uploaded with the final data request.

After OAA receives a complete IRB-approved data request, delivery of data may require 10 or more business days, depending on project complexity, data availability, and reporting schedules.
Frequently Asked Questions
Do I need IRB approval before meeting with COED OAA? No. Students should first meet with their dissertation chair or methodology professor and then schedule a consultation with COED OAA. The student will submit documentation to the University IRB approval submission once they receive the letter of data availability from COED OAA.
Can I submit the data request form before receiving IRB approval? No. IRB approval must be obtained before submitting the final IRB COED Data Request Form.
What if I change my data request after submission? Changes may require additional review and can restart processing timelines.
Will I receive identifiable student data? Majority of data are provided in a de-identified format to protect privacy and comply with university requirements
